iCIMS, Inc. and iCIMS International, LLC ("iCIMS" or "Company" or "We") respect your privacy and are committed to protecting it through our compliance with this policy.

This policy describes the types of information we may collect from you or that you may provide when you interact with us through the Website, (including without limitation, by requesting a demo, by applying for a position with the Company, or by posting a comment or materials to any blog or other interactive part of the Website) and our practices for collecting, using, maintaining, protecting and disclosing that information.

iCIMS, Inc. and its subsidiary company iCIMS International, LLC recognize the importance of protecting and ensuring the integrity of Sensitive and Confidential Information, including Personal Data as defined by the European Union’s (EU) General Data Protection Regulation (GDPR).

iCIMS, Inc. and its subsidiary company iCIMS International, LLC also participate in and have certified their compliance with the EU-U.S. Privacy Shield Framework and the Swiss-U.S. Privacy Shield Framework. iCIMS is committed to subjecting all personal data received from European Union (EU) member countries and Switzerland, respectively, in reliance on each Privacy Shield Framework, to the Framework’s applicable Principles. iCIMS is responsible for the processing of personal data it receives, under GDPR and each Privacy Shield Framework, and subsequent transfers to a third party acting as an agent on its behalf. iCIMS complies with GDPR and the Privacy Shield Principles for all onward transfers of personal data from the EU and Switzerland, including the onward transfer liability provisions.

With respect to personal data received or transferred pursuant to GDPR iCIMS is subject to the regulatory enforcement powers of the European Union (EU) in conjunction with the U.S. Federal Trade Commission. For each Privacy Shield Framework, iCIMS is subject to the regulatory enforcement powers of the U.S. Federal Trade Commission. In certain circumstances, iCIMS may be required to disclose personal data in response to lawful requests by public authorities, including to meet national security or law enforcement requirements.

In compliance with GDPR and the Privacy Shield Principles, iCIMS commits to resolve complaints about our collection and use of your personal information. EU and Swiss individuals with inquiries or complaints regarding our privacy practices should first contact iCIMS as provided below.

iCIMS commits to cooperate with the panel established by the EU Data Protection authorities (DPAs) and/or the Swiss Federal Data Protection and Information Commissioner, as applicable and comply with the advice given by the panel and/or Commissioner, as applicable with regard to human resources data transferred from the EU and/or Switzerland, as applicable in the context of the employment relationship.

Information We Collect About You and How We Collect It

We strive to provide you with choices regarding the personal information you provide to us. We have created mechanisms to provide you with the following control over your information:

  • Promotional Offers from the Company. If you do not wish to have your e-mail address/contact information used by the Company to promote our own or third parties' products or services, you can opt-out by following instructions provided in the relevant email or form.

Accessing and Correcting Your Information

You can review, delete, and change your personal information by logging into the Website and visiting your account profile page where applicable or otherwise by contacting us at GDPR.Requests@icims.com. We will respond to your request within a reasonable timeframe.

Rights of the Data Subject

If you are a European Union resident, under the General Data Protection Regulations (GDPR) you have certain rights when it comes to the personal data you submit for marketing purposes to iCIMS. These rights include: 1) The right to be informed; 2) the right to access your information; 3) the right to correct any information that is inaccurate; 4) the right to correct any information that is inaccurate; 5) the right to have your information erased; 6) the right to restrict or suppress information; 7) the right to obtain and reuse their personal information for their own purposes across different services; 8) the right to object to the processing of their personal information; and 9) the right to object to how your data is used in automated decision making.

If you wish to enact your rights please contact us via email at GDPR.Requests@icims.com. Within the subject of the email please indicate that you are enacting a data subject right. Additionally, within in the email please indicate the specific data subject right you wish to enact and if discernable how you provided the information to iCIMS. If you wish to lodge a complaint with the supervisory authority, please contact that authority directly.

Data Retention

We will retain your information for as long as long as your account is active; as needed to provide you products or services; as needed for the purposes outlined in this policy or at the time of collection; as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements; or to the extent permitted by law.

If you delete your User Contributions from the Website, copies of your User Contributions may remain viewable in cached and archived pages (including third party websites), or might have been copied or stored by other Website users. Proper access and use of information provided on the Website, including User Contributions, is governed by our terms of use.

Transmission of Your Information

By submitting your information to the Company, you acknowledge and agree that the technical processing and transmission of your information, may involve, (a) transmissions over various networks, including the transfer of this information to the United States and/or other countries for storage, processing and use by the Company, its affiliates, and their agents; and (b) changes to conform and adapt to technical requirements of connecting networks or devices. Social Media Widgets

Our Website includes social media features, such as the Facebook Like button, and widgets, such as the Share This button or interactive mini-programs that run on our Website. These features may collect your Internet protocol address, which page you are visiting on our Website, and may set a cookie to enable the feature to function properly. Social media features and widgets are either hosted by a third party or hosted directly on our Website. Your interactions with these features are governed by the privacy policy of the company providing it.

Referrals

If you choose to use our referral service to tell a friend about a job opening and/or about our products, we will ask you for your friend’s name, phone number, and email address. We will automatically send your friend a one-time email inviting him or her to visit the Website. iCIMS stores this information for the sole purpose of sending this one-time email and tracking the success of our referral program. Your friend may contact us at accounts@icims.com to request that we remove this information from our database.

Changes to Our Privacy Policy

It is our policy to post any changes we make to our privacy policy on this page. If we make material changes to how we treat our users' personal information, we will notify you through a notice on the Website home page prior to the change becoming effective. The date the privacy policy was last revised is identified at the top of the page. Children Under the Age of 13

Service Platform Policy

The use of information collected through our service shall be limited to the purpose of providing the service for which the subscriber has engaged iCIMS.

iCIMS collects information under the direction of its subscribers, and has no direct relationship with the individuals whose personal data it processes. If you are a customer of one of our subscribers and would no longer like to be contacted by one of our subscribers that use our service, please contact the subscriber that helps us provide our service. We may transfer personal information to companies that help us provide our service. Transfers to subsequent third parties are covered by the service agreements with our subscribers.

iCIMS acknowledges that you have the right to access your personal information. iCIMS has no direct relationship with the individuals whose personal data it processes. An individual who seeks access, or who seeks to correct, amend, or delete inaccurate data should direct his query to iCIMS’s subscriber (the data controller). If requested to remove data we will respond within a reasonable timeframe.

  • We will retain personal data we process on behalf of our subscribers the Company retains data for as long as required to satisfy the purpose for which it was collected or as required under applicable law. iCIMS will retain this personal information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.
